Registration Information

What information do I need to be allowed on the military base?

All participants must complete a VCC form prior to their arrival. Upon arrival at the Camp Dawson gate, you will be asked to present your valid, unexpired ID (Driver’s License, or other government issued identification).

How do I make hotel room reservations?

Hotel rooms can be booked by calling the Camp Dawson Event Center front desk at 304-791-7002 and using reservation number 252000 for the Planning Conference Room block and pricing.

How do I register and pay for the Planning Conference?

Registration is done through the Laurel Highlands Council’s 247 website, or, by clicking the "Register" button in the menu above.

What are the costs for the conference?

$405 Total per person (may vary based on length of stay)
$180 Conference fee
$225 Hotel ($75/person/night)
A Sunday evening arrival adds another $75 per room to the total.

What is included in the Conference Fee?

1. Meals (7 meals, 5 breaks)
     a. Monday dinner
     b. Tuesday breakfast & lunch and two refreshment breaks
     c. Wednesday breakfast, lunch and dinner and two refreshment breaks
     d. Thursday breakfast and one refreshment break
2. Entertainment/speakers (Monday & Wednesday)
3. Hospitality in the Multi-Purpose building (Monday & Wednesday)
4. General fees for event support paid to Camp Dawson
5. Other miscellaneous items including name tags, lanyards, online registration fees, etc.

Dietary Information

What are the options for dinners on Tuesday evening?

The Tuesday evening dinner is not built into the conference, as many councils choose to have individual council celebrations that evening. If you would like to have dinner at the cafeteria, that can be selected in the online registration area.
Those preferring to go offsite for dinner have several options:
  1. Morgantown, WV - approximately 1 hour from Camp Dawson. There are many restaurants in Morgantown, from quaint homestyle diners to more elaborate formal dining. If you have a larger council group attending, you will want to make reservations in advance.

  2. Oakland, MD - approximately 1 hour from Camp Dawson. Oakland has some very nice upscale restaurants for those wishing to venture into Maryland. The Oakland/Deep Creek lake area has multiple dining options. View the full list here: Best Restaurants in Oakland, MD (Deep Creek)
  3. Kingwood, WV - for those wanting a location closer to the event facility, Kingwood also has some restaurants available with less of a drive. View the full list here: Best Restaurants in Kingwood, WV
  4. The Liberty Restaurant is in the Event Center, as an alternative option for Tuesday dinner.

A member of our group has dietary restrictions/food allergies, how do we let someone know?

Any special dietary restrictions/allergies can be entered on the individual registration form on 247. The form asks you to list any dietary restrictions. You can also email Marianna Ross, who is handling the meals for the opening/closing dinner at Marianna.Ross@scouting.org.

A member of our group has mobility challenges, how do we let someone know?

For those with mobility issues, please enter that information on the individual registration through the 247 form. Michele Brenneman will share those concerns with the Event Center for their rooming assignments. You can email Michele at Michele.Brenneman@scouting.org with any requests.

We are arriving early, what are our options for Sunday evening?

Since the conference doesn’t begin officially until Monday, any meals will be on your own. We can make arrangements for Monday’s breakfast and lunch in the cafeteria. Email your request to Michele Brenneman at Michele.Brenneman@scouting.org, along with a meal count for breakfast and lunch. Please note, you may be billed for extra meals, post-conference.
In general, we have a very small group on Sunday. With that, the Liberty Restaurant does not stay open for our group. You will need to coordinate your Sunday evening dinner at either a local restaurant or make arrangements to travel to Morgantown. There is a nice Mexican restaurant just off the base at the golf course.

General Information

What information do I need to be allowed on the military base?

The majority of the conference is located in the Event Center. There is a “short-cut” from the hotel wing to the conference room/cafeteria wing that does take your outside, but you also have the option of walking through the event center and not venturing outside. If you stay in the building, it is a longer walk.
Monday and Wednesday Dinner/Reception are held in the Multi-Purpose Building. Those are the only two official conference activities that are not in the main building. There is a small walk to access this facility from the main building. We will be moving straight from dinner to the reception this year, without need to leave to get ready for the reception. There may be some activities after dinner in the event center as options. Please watch the website for evening activity updates

When will we know which conference room we will be using?

The meeting/conference room assignments will be made closer to the event. We will review the number of registrants per council, along with any special mobility accommodations, prior to making those assignments.
